Student intake projections dashboard released

  • 29/05/2025 – A new Projections Dashboard has been launched for members of the Senior Leadership Team and Board of Governors. This tool provides visibility of projected student numbers for upcoming intakes, supporting strategic planning and decision-making. Designed with a user-friendly interface, the dashboard makes it easier to explore and interpret data, helping users gain clearer insights into projected enrolment trends. Initially available to SLT and BoG members, wider access for staff will follow in the coming weeks.

New features (Dashboards and reporting)

  • 30/04/2025 – A new financial report feature has been added to AMS-Worktribe. This enhancement allows the report to include data from both lead and co-teams for projects with two project teams, providing a more comprehensive view of project finances. Additionally, the ETL process for importing the report into T1 has been optimized by removing blank entries and unnecessary commas, improving data quality and consistency.
  • 30/04/2025 – A new Debt Reporting Dashboard has been implemented to address the needs of the Accounts Receivable team. This dashboard provides real-time monitoring of outstanding debt levels throughout the year and includes corporate debt payment plans. It fully reconciles with the T1 Finance debtor control account and finance system reporting, ensuring complete and accurate debt information for Board of Governors progress updates and improved financial oversight.

New features (ETL improvements)

  • 30/04/2025 – An automatic outlet income posting system is being developed to improve efficiency and reduce errors in the accounts receivable process. This solution, which includes built ETLs for certain outlets like The LAC café and the library, aims to consolidate and automate the currently manual posting process for all outlets.
  • 30/04/2025 – The ACCIMP payments process is being enhanced to improve efficiency. The ETL will be modified to automatically add an ‘S’ to ‘elf’ in the sponsor box and remove the ‘S’ from the end of the academic year box, eliminating the need for manual adjustments on each payment.
  • 30/04/2025 – The Convera tech 1 ETL is being updated to correctly pull through ACCD instead of OTHR. This improvement will eliminate the need for manual changes to match off the data, streamlining the process and increasing accuracy.
  • 30/04/2025 – OPM files have been updated to include additional zeros in the file layout. This change requires modifications to the ETL process to remove these zeros and adapt to the new layout. The team is considering reaching out to Convera to inquire about the possibility of reverting to the previous format without zeros.

New features (Enhancements/Improvements)

  • 30/04/2025 – Ezescan, a new invoice matching scanning solution, has been implemented to replace Chronoscan. This system, which is integrated with T1’s cloud, offers improved efficiency by automatically recognizing invoice details without the need for manual ‘teaching’ for each supplier. The solution also includes a comprehensive library of supplier invoice formats, reducing the need for manual intervention.
  • 30/04/2025 – An AutoMatch feature for payments and credits to invoices has been introduced. This new functionality automates the process of allocating payments on Tech 1 overnight, eliminating the need for manual matching spreadsheets and improving the accuracy of customer and student statements.
  • 30/04/2025 – A new feature request has been made to enable journaling on SMS. This would allow for processing journals such as fee write-offs or coding adjustments, improving debt reporting accuracy and enhancing the student experience by allowing small balance clearances.
  • 30/04/2025 – A Funds Checker feature is being developed and tested. This new functionality will check funds at the requisition stage, ensuring better budget management by preventing requisitions that exceed available funds. The system aims to consider VAT and operate at various levels, including project and cost centre.
  • 30/04/2025 – Improvements to the credit note process are being explored. The aim is to automate the workflow for credit note approvals and notifications, streamlining the process and reducing manual interventions. This update also seeks to consolidate the credit note handling within a single team for improved efficiency.
  • 30/04/2025 – A new feature for creating forms for actuals adjustments is under development. This will automate the process of journaling costs when invoices are posted to incorrect codes, replacing the current manual form completion process.
  • 30/04/2025 – A new request has been made to create matching browsers for AR, LR, RS, SP, and SR ledgers. This feature aims to improve the efficiency of matching processes across multiple ledger types.
  • 30/04/2025 – A new Library and Catering Automation system has been implemented to address issues with invoice processing. This system aims to reduce the risk of late supplier payments and incorrect VAT accounting by automating the amendment of dates and VAT codes. The automation process has been refined through multiple iterations and testing phases to ensure accuracy and reliability.
